Chandigarh 28th May,2025,A review meeting was held today under the chairmanship of Nishant Kumar Yadav, Deputy Commissioner-cum-Estate Officer, UT Chandigarh, to assess the overall functioning and service delivery mechanisms of the Estate Office. The meeting was attended by all 3 Assistant Estate Officers, branch in-charges, and staff members.

During the meeting, the branch-wise pendency of services was thoroughly examined. The Estate Officer undertook a detailed review of the functioning, staff availability, and performance across various branches. The reasons for service delays and objections raised on files were scrutinised in depth.

The Estate Officer issued clear directions to ensure time-bound disposal of all applications in strict adherence to the Right to Services (RTS) timelines. All pending cases are to be cleared within the next two days. It was also emphasized that proper record management must be ensured and that all file processing be conducted strictly through the designated online system.

To enhance transparency and applicant experience, it was specifically directed that objections, if any, be communicated to applicants in one consolidated instance. The practice of issuing objections in multiple rounds has been discontinued with immediate effect.

The Estate Officer also directed the establishment of a dedicated helpdesk to assist the public in filing applications and resolving queries. A robust feedback mechanism is to be put in place and regularly monitored to further improve service delivery.

The progress of digitisation and auto-mutation was reviewed, with instructions to expedite the scanning of old records. Additionally, the Estate Officer reviewed the sitting arrangements and general cleanliness within the office, directing that all scattered physical files be systematically relocated to the designated record room to maintain neatness and order.

The Estate Office remains committed to improving transparency, efficiency, and public satisfaction in all its service areas.
